We met at Amber Urioste’s magnificent home, from 1:00 to 3:30 pm. Those in attendance were Barbara Fenne, President; Amber Urioste, Interim Treasurer, Joan Carpenter, Valued Consultant; and Elaine Bishop, Secretary. The purpose of the meeting was to transfer all financial records from K.C. Brennan, who resigned as Treasurer, onto Amber Urioste who has been selected by the President and Board to serve out K.C.’s term, which ends July 2007, and to review the financial reports with Amber.
Discussion items are as follows:
1. Did we receive the TADA Grant monies? Amber will check this.
(Note: correspondence from Karen G. to Kristi W. 3/22/03:
“Dear Conference Committee, As you start to work out the details of the
conference, the board needs a proposed budget. We need to see what and
how things are going to be spent. The board needs to keep track of the money
going out and coming in….”
2. Have we regained tax exempt status, and if not, what is needed to do so. Amber will check this. (Note from AEN Board Mtg. Minutes 9/20/03:
a. “Non-profit status- Linda Murphy said we need to have the treasurer
file a Non-Profit Status Form with the IRS before April 15th, so that
we will be on a published list of non-profit organizations, for possible
contributors to see. It was also noted that the Nevada Arts Alliance
has its own 501 (c)(3).)
b. (Correspondence from Karen Gulash 10/7/03:
“Dear folks, We no longer have a tax exempt number. In
1997 we needed to renew our application. Wires got crossed
and it never happened. I now have the papers and I will be in
contact with KC and by January 1st we should be all set again.
(It takes 30-90 days and I need to hold off just a little to get the
constitution set. They need that for the application.) Karen”)
3. Are any income tax forms that needs to be filed? Are we to have an auditor check our financial records? Amber will check this.
a. (Notes from AEN Board Meeting 9/20/03:
“Audit- Linda Murphy said we need an audit.
We can use two members,
not currently on the Board, to audit the books, since we are
non-profit and
have an income less than $10,000. Joanne
Franz from
b. Joan said that Quicken and Turbo Tax are software that help keep finances in order and are compatible with each other.
4. Elections: We all agreed with Barb and Amber, that a map showing which offices that are up for election during what years, is needed. It would be very convenient to have it in the back of the Constitution for reference. ( The following is from the AEN Conference 10/20/02 Minutes:
“Karen said the President and Treasurer were to be elected this year, not last year. She drew a diagram of how the progression would take place, with a president and president elect.
Joan Carpenter nominated Barbara Fenne for President Elect 2003. Beth
Karen’s progression chart is as follows:
2002__________2003__________2004____________2005______________2006______
Karen Co-President Karen Co-Presidents Barbara
+ other Elects President President)
President
Elect
(Note from the AEN Fall Conference 10/18/03: Nominations for President Elect and Secretary- Both have been in office for two years.
Linda Murphy made the nomination, seconded by Patty Clark, for
Cindy Allen to be President Elect. Ashley Forgey nominated Kristi Watson for President Elect, seconded by Sue Garn. Barbara Fenne
nominated Elaine Bishop for Secretary, seconded by Susie Walker.)
This looks like the map (?) (E. Bishop):

5. AEN Fall
Conference 2005 in
6. Corporate Sponsor: Barb suggested we have one. Amber has had contact with
McPherson’s as a vendor for the 2004 Conference and thought they would be good, emphasizing that Linda McCarthy seemed to want to help out Washoe
County arts all she could. They have donated loads of art materials to the
Education Collaborative. She said they have 1 of 4 large distribution centers, down near Double Diamond and they supply Ben Franklin’s and Michael’s. The
other 3 are in other parts of the country. She will contact them, and suggested they get an award, i.e. the Jefferson Award, for their donations.
7. Art in the elementary schools. Barb said Nevada Museum of Art’s Margaret Walsh has a 2 year grant to get art into the elementary schools. Joan told how she and Susie Walker voluntarily went to other schools and taught art to 5th graders in the past. We talked about Art Attack and Specter and the Masters Art Programs and that some other counties that have art in elementary have just 1 class a week of music per classroom, and we have 2.
8. Conference 2006. Conference Chairman is Amber. She and Barb talked about
possibly having it at
be obtained through
9. Tile project. Amber demonstrated the use of a tile cutter by Mapei, she bought at Lowe’s for $19.00. It works great, even on curved tile, she said.
Wonderful atmosphere, excellent lunch, good conversation and an art lesson! A
meeting like this is highly recommended. Thanks Amber and all. I hope you
don’t mind my adding in info about some of the questions asked.
